Booking
Procedure
1.
Booking Enquiries & Provisional Bookings are best made by telephone.
2. In response to a Provisional Booking, a Notification of Booking will be
issued by
Dovedale House, normally within 7 days.
This is an invoice for the Deposit (Residential Groups)
.. or Advance Payment (Day Groups).
You will also receive two Confirmation of Booking Forms.
3. Complete the Confirmation of Booking Forms and forward one to Dovedale
House,
together with a cheque in settlement of the Invoice or having arranged
payment to be
made separately via a third party (eg. Local Authority)
4. A Receipt of Payment and two General Requirements Forms will be issued
by
Dovedale House.
The booking is now Confirmed.
5. One General Requirements Form should be completed and sent with an
outline of
your intended programme, ideally, no later than TWO WEEKS before the
Group's
visit.
Cancellation:
In the unfortunate event of the need to cancel a proposed visit, please
inform us as soon as possible. It could save you money, especially if
another group can take your place (see Conditions of Booking No. 6 below).
Conditions
of Booking
1. The
Booking Procedure (above) forms part of these Conditions of Booking.
Failure to comply with the Procedure may suggest the intended visit has
been
CANCELLED, re-letting of the facilities might then occur and any
cancellation fees
due from your Group may be charged.
2.
Groups must come from recognised organisations and have adequate
leadership.
(Residential Groups only: A mixed party must have female and male
leaders.)
3a.
Leaders are responsible for ensuring that their members and activities are
adequately
insured for the duration of the visit to Dovedale House. In addition to
legal and public liability, personal accident and loss of property
insurance may also be desirable.
3b.
Leaders must ensure that parents and guardians know of what activities
their children
will be participating.
3c.
Leaders are expected to take charge of the behaviour of their party. At
the discretion
of the Warden, bad behaviour can mean offenders are sent home.
4. For
Residential Groups, there is a Minimum Group Size equal to 15 adults. If
less than
this number stay, the group is likely to be charged as though the Minimum
Group Size
had stayed. An exception is if a group does not enjoy sole occupancy of
the Centre.
5. Payment of Deposits is non-returnable, but is deductible from the final
bill.
Payments for Day Group usage are non- returnable.
6. To
cancel a confirmed booking, please inform the Warden in writing as soon as
possible. In the event of cancellation, charges will be levied on the
Group Size as follows:-
Cancellation before FOUR MONTHS of the date of arrival: Deposit only
Cancellation within 4 MONTHS of the date of arrival: 50% Fees
Cancellation within 6 WEEKS of the date of arrival: Full Fees
Cancellation of Day Group Booking: Full Booking Fees
7. All
monies are payable to 'Dovedale House'.
8. All
fees and charges are reviewed annually in August, to take effect the
following
calendar year. During September groups will be notified of the appropriate
fees by post.
9. In
the interest of safety, smoking is prohibited throughout the house.
10.
Consumption of alcohol on the premises is entirely at the discretion of
the Warden.
